How to Enter Recurring Events

Create a generic event

  1. Navigate to Home
  2. Click on the Contents Tab
  3. Click on  Archive -> year-folder -> month-folder of first event
  4. Click Add Item -> Event
  5. Fill in the metadata using the information from the first event
  6. Click the Save button

Make copies of the first event

  1. Navigate to the month-folder containing the first event
  2. Click the Contents tab
  3. Click in the checkbox next to the first event
  4. Click the copy button
  5. To add another event in the same month, click the Paste button
  6. To add yet another event in the same month, click the Paste button again
  7. To add a similar event in another month, navigate to that month and click the Paste button
  8. Continue to navigate to other months and paste as many similar events as desired

Edit each event

  1. Navigate back to each event
  2. Click edit
  3. Edit or change the metadata to reflect each specific event
  4. Click the save button

Example

In this example I am adding an event for each story time that the library offers in a three month span. I will begin by creating a fairly generic event but using the specific dates and times of the first event in my series. Then I will make a copy of that event, and paste it 11 times in the next month's folders. Next I will edit each event to reflect the specific dates, times and themes of the story time. I have planned the themes, the books, the activity and the craft I will use for each storytime and written it in my planning book. I will use this information as I create my events.

  1. Login to the Web site as an author
  2. Navigate to Home -> Archive -> 2008 -> June
  3. Click Add Item -> Event
  4. Add this metadata
    • shortname: 06-05-storytime
    • Title: Storytime:The Moon
    • Description: Information about Storytime at the library
    • Event Starts: June 5, 2008 10:00 AM
    • Event Ends: June 5, 2008  10:30 AM
    • Event Location: Children's Room
    • Body Text: "

      Storytime for children ages 3-6 is offered every Thursday at the Library.  A librarian will read 1 or 2 books, lead a fun activity such as singing a song, or finger play and help the children do a simple craft. There is no charge for the storytime. Please register for this event by calling the library, sending an e-mail or using the online form.

      An adult responsible for the child(ren) must remain in the library during the Storytime."

    • Attendees: Children Ages 3-6, with parent or guardian
    • New Keyword: Storytime
    • Contact Name:
    • Contact E-mail:
    • Contact Phone:
  5. Click on the Save button

Make copies of this event

  1. Click on June from the breadcrumbs
  2. Click on the Contents tab
  3. Click in the checkmark next to the newly created event
  4. Click on the Copy button
  5. Click on the Paste button (to create an event for next week's storytime event)
  6. Click on the Paste button again (to create an event for the third week's storytime event)
  7. Click on the Paste button again (to create an event for the fourth week's storytime event)
  8. Click on 2008 from the breadcrumb trail
  9. Click on July
  10. Click on the Contents tab
  11. Click on the Paste button (to create an event for July's first storytime event)
  12. Click on the Paste button (to create an event for July's second storytime event)
  13. Click on the Paste button (to create an event for July's third storytime event)
  14. Click on the Paste button (to create an event for July's fourth storytime event)
  15. Click on 2008 from the breadcrumb trail
  16. Click on August
  17. Click on the Contents tab
  18. Click on the Paste button (to create an event for August's first storytime event)
  19. Click on the Paste button (to create an event for August's second storytime event)
  20. Click on the Paste button (to create an event for August's third storytime event)
  21. Click on the Paste button (to create an event for August's fourth storytime event)

Edit the copies

  1. Click 2008 from the breadcrumb trail
  2. Click on June
  3. Click on the Contents tab
  4. Click on the second Event in the list
  5. Click on the Edit tab
  6. Edit this metadata:
    • shortname: 06-12-storytime
    • Title: Storytime: Fathers
    • Event starts: June 12
    • Event ends: June 12
  7. Click on the save button
  8. Click in June from the breadcrumb trail
  9. Click on the Contents tab
  10. Click on the third Event in the list
  11. Click on the Edit tab
  12. Edit this metadata:
    • Shortname: 06-19-storytime
    • Title: Storytime: Toys
    • Event starts: June 19
    • Event ends: June 19
  13. Click on the save button
  14. Continue to navigate to the folder, select and edit each copy of the event

Publish the Folder

  1. Click June from the breadcrumb trail
  2. Click the Contents tab
  3. Click in the checkbox by each event to publish
  4. Click on the change state button
  5. Scroll to the bottom, click in the radio button beside Publish
  6. Click on the Save button
