How To Process Subscription Requests

When a list subscriber wants to subscribe to a mailing list, the list subscriber is required to fill out a subscription request form and reply to a confirmation message. An e-mail is sent to the list administrator for approval or rejection, and the subscriber is notified appropriately.

To Approve, Reject, or Discard Subscription Requests

  1. Click on the link in the subscription request e-mail message to go to the login for the web administrative interface, and log in.
  2. If you recognize the requestor's address as being appropriate for the list, select the Approve option for that address.
  3. If you recognize the requestor's address as someone who should not be on the list, select the Reject option for that address. To give a reason for rejection, enter a reason in the Reason for refusal text box.
  4. If the requestor is known to be a spammer, select the Discard option for that address. Discarding the request silently drops it, so the requestor does not receive anything.
  5. If the requestor's address is unrecognizeable, an e-mail message should be sent to find out who the requestor is. It should look similar to the example below, but with list and requestor appropriate information included. Until a reply is received from the requestor, the request can stay unprocessed.

    Hello,

    You have sent a request to be subscribed to the Sample mailing list.
    This is a private mailing list. For the protection of all of our
    subscribers, we require the following information:

    Name:
    Library or Business Name:
    City, State:
    Reason for Joining:
    (ex: library employee, trustee, volunteer, interested in the subject)

  6. Click on the Submit All Data button. 
  7. When the page refreshes, read through the information provided to make sure there are no more pending requests you are able to process.
