Frequently Asked Questions about Web Collect

Why can't I see the whole form on my computer screen?

Make sure you are using Microsoft Internet Explorer version 5.0 or higher and that your screen resolution is 800 x 600 or higher. To change the resolution, right click on the computer desktop and select Properties/Settings. (see example)

How do I save my information, and where is it stored?

Information is saved each time you click on Update, or anytime you move to a new section of the form. Save your data as often as possible. The data is saved to a server maintained by Informata, the company with whom the State Library contracts for Web Collect.

How many times can I open and close out of Web Collect?

There is no limit to the number of times you can open and close Web Collect.

Our library received multiple grants last year. The survey has room for only one. Where do I enter the others?

Enter the first grant title and amount. Click on Add Group. A second box with will appear. The amounts entered in these boxes are added together to provide a calculated total. This is a Repeating Group. Other Repeating Groups are Square Feet, and Contracting Cities.

The totals in the calculated field boxes are blank. Why is that?

Click on the update button at the bottom of the page.

How can I check the validity of my data?

Click on Status and Printing in the menu bar. Click on View Edit Checks for Review. The edit checks serve the purpose of letting you see the criteria and explain your data before it gets submitted to the state library.

The question will appear with the reason for the edit check below in bright red.

How do I clear an edit check?

Edit checks are based on expected ranges calculated by the State Library and the national statistics project, FSCS.

You may need to correct a simple typo. If the data you entered is correct, you need to write an annotation on the notepad to explain why that data is correct. (see example)

The question will appear with the reason for the edit check below in bright red. If the data is incorrect, simply correct the data in the entry box. If the edit check is on an automatic total and the figure is wrong, you will need to change the data in the contributing fields.

When the data is within the specified range (after clicking Update), the edit check will disappear. If the data in the entry box is correct, write a note using the notepad to annotate your response. Use the Federal (default) note for all annotations. When you annotate a correct response using the notepad (and after clicking Update), the edit check message will turn green.

Do I need to send a paper copy of the survey?

No. Once you submit the survey you have notified the State Library that you have completed the survey.
