Digital Projects Team Meeting Minutes - December 8, 2008

Planning Meeting

Present: Mary Wegner, Marie Harms, Sandy Dixon, Barb Corson

*************************************************************************************

Barb gave a brief description to the Library Service Areas (LSAs) at their meeting last week about the status of Iowa Heritage Digital Collection (IHDC) and the State Library's plans. It was well received and a number of the LSAs are interesting in helping libraries create collections for IHDC.  The general time line to start adding new collections is August or September 2009.

Kim Kietzman is interested in applying for a grant for digitization equipment that can be used by public libraries. The State Library will work with her on that. The Digital Projects Team (DPG) will meet briefly with Kim after the next Iowa Commission of Libraries meeting on Monday, December 15th.

Barb and Marie can go to one of the face-to-face LSA meetings with an update after more work has been done.

The State Library is assuming that libraries with enough resources will provide their own server space for their collections and the IHDC will take advantage of multi-site searching to link them up. Since we don’t have unlimited resources, we’ll have to develop a priority list to select whom to host if there are more requests than we can handle.

Mary talked with Liz Bishoff while at the BCR Board meeting about her coming to the State Library as a consultant for digital projects. Barb said that she’s waiting for a quote from Leigh Grinstead for that. We are planning on late February or early March. The consultant will help the State Library plan for the future of the IHDC and other digital projects at the State Library.

Alan is planning to get the domain name for IHDC transferred in January to the State Library and to take over the cost. He’ll also work with University of Iowa (UI) staff to transfer the files for IHDC from their servers to the State Library's servers. The server CONTENTdm software has already been loaded. Marie will contact OCLC about getting the software for the client side of CONTENTdm.

The State Library will also work on getting several of our on-going databases moved into CONTENTdm, such as the inventor’s database, the trademark database and the two databases at the Law Library.

Barb will contact Glen Dickenson to see what’s happening with the Red Books archive on their servers. They are still in the CONTENTdm software. Since his agency transferred their license to the State Library, is that a problem? Would they be interested in allowing us to maintain the Red Books in the IHDC? She’ll also ask him if UI is going to get digitized copies of House and Senate bills that they loaned for the project.

Barb will create a Web page of the State Library site to keep interested parties informed of the progress for IHDC and other State Library digitization projects.

Barb will also look at the procedures and/or policies already created for IHDC and see what changes and/or additions need to be made.
